Our Fees, Terms & CONDITIONS

Service Agreement:

The Child Psychology Service (TCPS) is a New Zealand limited company that operates as a social enterprise. While we are not a registered charity or incorporated society, we follow not-for-profit principles. This means that fees you pay cover the cost of your service and the running of our organisation. Any surplus is reinvested into improving services, supporting practitioners and expanding access to child and family mental health support — rather than being distributed as profit.

This is the model that has helped us to grow sustainably over the last 9 years to offer more mental health support where and when it is needed.

We work as a multi-disciplinary team, meaning we have a varied range of disciplinary backgrounds and skills within the team and we all work together to provide holistic and evidence-based support.

Declaration: By accepting an appointment with us, you are indicating that you have read, understood and agree to the terms of the service agreement and its contents.

If you are booking in school holidays please be sure you are able to attend.

Our organisational policy is to adhere to the terms & conditions with no exceptions.

  • Late cancellation/reschedule (within 48 hours of your scheduled appointment): the full rate for the planned service is due
  • Missed appointment without notice: full rate for the planned service is due
  • Late payment fee (invoices are emailed after the session): Payment is due within 72 hours of the appointment
  • Any invoice paid later than 3 weeks will incur a late payment fee of 10%
  • If we don’t receive payment from you after 1 month of the invoice, we reserve the right to forward your debt to our recovery partner. Upon this occurring, you will then become liable for all associated recovery costs as charged by the third-party recovery partner.

Consent and Confidentiality Statement:

You have the legal status (the consent of all legal guardians) to consent for the primary recipient to receive a service. You agree to pay all invoices for services from The Child Psychology Service. You understand that this is a therapeutic process and that the psychologist/psychiatrist/counsellor will discuss any concerns they have directly with you in the first instance and be honest and open with you about any discussions with, or possible referrals to other organisations.

You understand that any information disclosed to the therapist/practitioner (and their supervisor) is confidential, except in cases where there is a concern regarding the recipient’s or another’s welfare. Safety is of paramount importance and the therapist/practitioner may need to consult with other professionals if a concern regarding safety arises.

The therapist/practitioner will outline any intervention plan with you before going ahead so you (and your child where appropriate) may give informed consent. You also understand that you have the right to withdraw consent at any time throughout the therapeutic process.

Any information held about you will be done so according to the rules of the Privacy Act 2020.

Full TCPS data/privacy policy can be found on our website.

As part of our commitment to providing timely, accurate and comprehensive therapeutic support The Child Psychology Service may use secure, compliant AI-assisted tools to support the creation of clinical notes and session summaries. These tools are strictly used by clinicians and are designed to assist in structuring notes based on the clinician’s own professional input.

These technologies assist with reducing administrative load and allow our team to focus more time on client care. If you would prefer that AI-assisted tools are not used in your case, please let us know and we will ensure your preferences are followed.

You will receive reminders and payment notifications from Cliniko (the platform that TCPS uses to help manage our practice). To stop messages from us going into spam please save notifications@cliniko.com as a contact or mark messages from Cliniko as ‘Not Spam’.
